FORMAT OF FORMAL LETTER
A letter is a form of written communication. Letter writing is considered as one of the most important questions as students can easily score full marks in this question with a little preparation. Everyone must know how to write a Letter.
Letters are of two types: formal and informal.
Formal letters include business letters, letter of complaints, letter to government officials, etc.
Informal letters include letters to friends, relatives, acquaintances, etc.
Formal Letter Types:
1. Letter to the Editor.
2. Letter to the Government.
3. Letter to the Police.
4. Letter to the Principal.
5. Business letter.
6. Application for job.
7. Letter to the Bank Manager.
8. Invitation letter.
9. Resignation letter.
10. Leave Application.
11. Leave Application for marriage.
Marks for letter:
1) Sender's address and date - half marks
2) Recipient's address - half marks
3) Subject and Salutation - half marks
4) Body of letter - two marks
5) Closing of letter - half marks
6) Correct use of Grammar in the letter - one mark
While writing a formal letter, one has to follow a simple Letter Writing Format.
1) WRITER'S ADDRESS:
(i)
Top left hand corner of the page.
(ii)
Do not put your name.
(iii)
You may or may not put punctuation marks in the address.
2) Date:
a) Is written below the address.
b)
You may leave a line between the address and the date.
c)
Write it in the form - 8th August, 20xx.
3) Receiver’s address: The address of the recipient of the mail (the officer/principal / Editor) is written here.
4) The subject of the letter: The main purpose of the letter forms the subject. It must be written in one line. It must convey the matter for which the letter is written.
5) Content: There should be minimum 3 paragraphs.
1st paragraph - Introduction. Expand the subject.
For example:
a) With reference to the above mentioned subject, I, the undersigned, would like to draw your attention towards..........
b) This letter is to bring to the notice of the authorities concerned .........
c) I shall be highly obliged if you grant me..
d) I am sad and disappointed to find that ..........

2nd paragraph - Details. Elaborate on the three aspects causes / effects / remedies. Write two sentences on each of the aspects.
3rd paragraph - Conclusion. I hope the authority concerned will take the necessary action and relieve us of the problem.
6) The Salutation : ( i ) For Formal letters - Sir, / Madam, / Dear Sir.

I am Mr. Ganesh Rao Studying in Standard X of Sanjeevani High School. I would like to complain about the menace of vendors outside our school. Lot of traffic is created because of these vendors. During break time of our school they bring lot of unhealthy foods outside the school compound.
These eatables are kept open and lot of school children are eating it. These eatables are very much oily and are sold under unhygienic condition. Many students have fallen ill because of this. This is dangerous health issue for our school children. We have complained twice to local municipal authorities but still no action is been taken.
Kindly I am requesting you to look into this matter and relieve us of the problem. Please take some steps so that all the vendors are prohibited from selling near our school.. This is my simple request.
